About The Role
We are seeking a Document Controller with a strong background preferably in Mining & Construction Industry. This role is critical in ensuring the effective management, organization, and control of project documentation throughout its lifecycle.
Key Responsibilities
- Manage and maintain the project document control system according to company and project requirements.
- Manage the flow of documentation in/out of the Projects (either in electronic form or on paper support)
- Establish and maintain the Projects Master Document Register in close cooperation with the Projects Teams
- Set-up Projects folders structures in the EDMS/SharePoint, as per Projects requirements, to ensure the documentation is properly archived and easily retrievable to facilitate an easy and fast flow of the information within the Projects Teams and externally (Contractors/Vendors) as required.
- Ensure all incoming and outgoing documentation is correctly registered, distributed, tracked, and filed.
- Review documents for accuracy, version control, and compliance with project standards before issuing.
- Coordinate with project teams, vendors, and clients for document submissions and approvals.
- Maintain confidentiality and security of project information.
- Support audits by providing required documentation promptly and accurately.
- Prepare regular reports on document control activities and status.
- Assist in setting up document control processes and improvements as needed.
- Check and update Monthly Progress Report, and Quarterly Progress Report
Requirements
- Bachelor’s degree in technical field.
- Minimum 2 years of document control experience.
- Familiarity with document control systems (e.g., Documentum, SharePoint, or similar platforms).
- Strong attention to detail and organizational skills.
- Good understanding of project document lifecycles
- Proficient in MS Office applications (Word, Excel, PowerPoint).
- Fluency in English (verbal and written).
- Ability to work independently and collaboratively in a fast-paced environment.
- Strong knowledge of Electronic Document Management Systems and relevant implementation.
- Familiarity with large construction Projects.
